 Terms & Conditions.

Deliveries 

The parcel must have the following information: Contact Name (Event organiser), Clients Name, Company name, Date of stay. Please contact the hotel to make us aware prior to collection. The Hotel is not liable to organise any collections or store any parcels left. 
 

Parking/ Coaches 

Please advise the Hotel if your group will be arriving by coach, this must be prebooked for us to arrange allocated parking. If you stay with us during a home football match, please be aware the Hotel and car park will be busier than usual.

Luggage 

Please be advised that porterage services are not included in the tariff stated in this agreement. If you would like porterage service, we can provide this to your group at an additional charge. Please contact the hotel directly for more information.

Check in/ out 

Check-in time is 15:00pm; check-out time is 12:00pm. Early check-in and late check-out are subject to availability and approval by the Hotel. We will charge an early check-in fee of 1 night accommodation charge and a late check-out fee of 1 night accommodation charge. To avoid a late check-out fee, please advise upon check-in for an extended check-out time (subject to availability). Fire alarm testing commences every Friday at 09:30am.

Dinner 

All dinner requests must be made in writing to the Hotel, orders over 8 pax will require a pre order to be taken and sent by email prior to arrival. Please contact the Hotel directly for further details. 

Breakfast

If your rate includes Breakfast we offer a full English buffet option served in the Pitchside restaurant between Monday to Friday: 6:00am-10:00am. Weekends and Bank Holidays: 7:00am-11:00am (timings may be subject to change). If your booking is on a Room Only rate, Breakfast will be an additional charge, please contact the Hotel.

Account Instructions 

Should the client require the account / balance / bill to be sent to an address for payment after the event, the Hotel will need to complete a credit check on this address / clients and twenty-two days’ notice must be given to the Hotel for this process to be completed.

Please note that although DoubleTree Milton Keynes is part of the Hilton Brand, we are a privately owned Hotel and franchise of Hilton, therefore we may not have credit set up with your company or travel agent regardless of if they have used Hilton Hotels before. 

​

If credit is not approved, full prepayment of the total accommodation and pre-booked food & beverage charges will then be due no later than thirty days prior to the event arrival date by credit card.

Amendment Policy 

The Hotel may cancel any booking if the Suite/bedrooms are required in connection with a football match taking place at the premises. Upon the occurrence of such an event, the Club shall not incur any liability to the Client, other than for the return of any monies paid. 

​

The Hotel may cancel the booking without liability whatsoever to the client other than a refund (where applicable) if the facilities or any other part of the stadium or Hotel complex is closed due to: 
 

  • The needs of the Hotel or its affiliated football club, MK Dons 
     

  • If the Hotel or any part of it is closed due to fire, alteration or re-decoration, by order of any public authority, or through any reason beyond the Hotel's control. 
     

  • The Hotel reserves the right to change agreed event facilities with appropriate discussion if indicated numbers do not materialise and will keep the client informed of any such decision. 
     

  •  The Hotel reserves the right to change any agreement, at any time, should the Stadium Event / Sports Fixture / Football Match be scheduled or re-arranged, after the Hotel has confirmed an event or booking in writing. Stadium Events / Sports Fixtures / Football matches will always have priority. The Hotel therefore reserves the right to postpone any event, offer alternative accommodation or a refund. The Hotel will endeavour to give the client as much notice as is practical or possible but make no guarantee as to the amount of notice it may give. 
     

  • The Hotel reserves the right to substitute similar or comparable accommodation for the function and such substitutions shall be considered by the client. Once the client accepts the substitution then this will be considered as satisfactory performance of the obligations of the Hotel. 
     

  • If the company /agent becomes bankrupt or insolvent or enters into liquidation or has an administrator, administrative receiver or receiver appointed overall or a substantial part or your assets.
     

  • If you are more than 30 days in arrears with payments to the Hotel or the Company for previously supplied services. 
     

  • If the event may, in the Hotel Manager's reasonable opinion, prejudice the reputation of the Hotel. 
     

  • Bedroom requests, such as pitch facing rooms, are subject to change on match dates which may result in a late check in or offering an alternative room type. 
     

Loss or Damage to Property 

The Hotel shall not be liable for any loss or damage to the property of the Guest or any such person as may so occupy except within the constraints of the Hotel Proprietors Act of 1965.

Indemnity 

The Guest shall indemnify the Hotel from any loss or damage caused by it or by any such person for which a booking has been made by it, to any part of the Hotel or to any fixtures and equipment or any property of third parties. 
 

Liabilities 

  • Please safeguard your property. The Hotel will not accept any liability for loss or damage to property or death or illness or injury to persons unless caused by the Hotel's negligence. 
     

  • Unless the Hotel is liable as referred to in (a), you will indemnify the Hotel from and against any and all liability for loss or damage to property arising there from as a result of the event. 
     

  • You are advised to consider your insurance cover in respect of (b) above. 
     

General 

  • Goods and service may not be bought or sold on the premises without the Hotel Manager's prior written consent in which case additional terms and conditions will apply which you must sign. No tickets whatsoever may be sold at the event. 
     

  • The Hotel name, logo and telephone number and the name “DoubleTree by Hilton Milton Keynes” or “MK Dons” may not be used in any advertising or other publicity without the prior written consent of the Hotel Manager
     

  • No signs, displays, posters or other material may be fixed to the walls of Hotel rooms without the prior authorisation of the Hotel Manager 
     

  • If the contract includes you employing the services of an outside contractor. You will indemnify the Hotel against any loss or damage to property, death or illness or injury to any persons and against all claims, costs, demands, proceedings and damages arising here from. Any outside contractor employed by you must report to the duty manager at the Hotel and sign the Hotels standard contractors Indemnity Form. The Hotel reserves the right to refuse access to any contractor in appropriate circumstances. 
     

Payment terms 

When using invoice to address after the event has taken place: Our terms are strictly 30 days from the invoice date. If payment is not effected within 30 days of due date then we (Doubletree by Hilton Milton Keynes) reserve the right to charge interest at 2.5% per month (or part thereof) on all amounts unpaid after the due date. Failure to effect payment may also result in the suspension of credit and services without prejudice to any other remedy which we may have. Interest will be calculated on a daily basis at a rate of 0.0825% per day. This will cover our administration fees and sundry costs to effect the payment. 
 

Law 

The booking and contract shall be subject to English Law and the contracting parties hereto submit to the exclusive jurisdiction of the courts of England.
